Description of the Job:
Summary of the Job:
- Assures that equipment in the exam rooms, such as otoscopes and blood pressure cuffs is functioning each morning. Assists in maintaining the cleanliness and orderliness of exam rooms, as well as keeping them well-stocked.
- Instruments must be sterilized and diagnostic equipment maintained in a safe working condition. Respect OSHA guidelines regarding cleaning and disposal of hazardous materials.
- Direct patient care in accordance with MAPS protocols for clinical assistants.
- Assists providers and nurses in completing procedures according to protocols.
- Telephone triages for patient care, including calls from patients, nurses home nurse practitioners, hospitals and other physician offices.
- Administers injection per protocols.
- Performs EKG, PFT and suture removal. Also, performs throat culture, urine culture and cerumen extraction.
- As needed, performs phlebotomy. Assists the phlebotomist as needed.
- Assures that all lab requisitions are documented according to protocol.
- Prepares and replenishes supplies. Keeps track of inventory and alerts the office coordinator when it is necessary to order.
- Patients are greeted by a nurse who will help them to determine their medical needs.
- Prepares patient charts and records basic statistics. Insures that patient complaints are recorded and vital signs are kept in a precise manner.
- Assists the physician in preparing and drapering patients for examination.
- As directed by the doctor, administers and dispense medications and injections. Keeps accurate records of all medication used and informs office coordinator when stock needs to be replenished.
- Assist in collecting specimens. If necessary, instruct the patient about preparation for different tests.
- As needed, records and maintains laboratory, EKG, and x-ray data in patient records.
- As directed by the doctor, schedules patients for special procedures. Notifies the clerical staff of any referrals and informs patients when special preparations will be required.
- Telephone calls to triages for the doctor The physician is responsible for directing phone calls made from prescriptions. Informs patients by phone or in person about test results, physician messages and other pertinent information.
- As directed by the doctor, counsels patients about various health maintenance issues and health-related matters (e.g. cholesterol, diet changes, or medication changes). ).
- Participates in all meetings with staff.
- Assists in clerical support with the completion of encounter forms, coding, and research. As per staffing requirements, provides clerical support.
- Keeps patient care logs in order to verify that all laboratory tests (Pap, blood, radiology, etc.) have been completed. Scheduled appointments have been completed. Reschedules patients if necessary.
- Discusses daily cancellations and no-shows with doctors. As clinically necessary, schedule patients.
- You may be asked to move to other practices if staffing requirements dictate.
- Work under the supervision of the Group Practice Manager, or designate.
- Maintains patient appointment schedules, either computerized or manually. As needed, schedules meetings and communicates with other hospitals/practice departments, nursing homes and other community services.
- Schedules examinations and tests for patients at different locations. Informs patients about the schedules and preparations required. Informs patients about special preparations that are required for testing.
- Correctly maintains the patient’s medical records. When necessary, responds to medical information requests.
- Answers all calls from professional staff. Notifies doctors or takes steps to locate physicians who can help in an emergency. When necessary, uses sound judgment when triaging patients from other areas. Assists doctors and other professionals in answering telephone calls, calling in prescriptions and informing patients about results.
- When necessary, prepares correspondence for patients or physicians.
- Assists in the maintenance of office supplies and stock, and reports any stocking requirements to the office supervisor.
- Rotates between the check-in/check-out areas. Professionally and politely greets patients and their families. Verifies all insurance and demographic information. Makes any necessary changes. Collects copayments as required. Keeps a cash log detailing all dollars collected.
- As directed by the physician, schedules specialty appointments. As needed, processes all referrals and responds to all questions or inquiries about insurance.
- Sorts and processes all outgoing and incoming mail. Assists doctors with information inquiries, patient requests, medical records copies, and other related tasks.
- Coordinates patient visits and other off-site clinics to ensure patients are seen promptly. When necessary, communicates with the primary care physician to schedule urgent care visits.
- The secretary schedules hospital admissions and other surgical procedures depending on the specialty and location of the physician. Communicates with the Operating Room scheduling, Preadmission Review and Admitting all insurance and diagnosis information. Informs patients about arrangements.
- For accuracy and completeness of information, reviews all encounter forms. All forms are coded with ICD9 and CPT. Verifies and enters the appropriate charges into the IDX system. Assists patients in billing queries. Assists patients with billing questions.
Primary Responsibilities
- Graduate from high school. A minimum of one year of experience in a medical office environment as a medical assistant is required. It is possible to become a certified medical assistant.
- Accredited secretarial training schools are preferred. Knowledge of medical terminology, word processing, and personal computers.
- Two years experience working in a busy medical office setting. Ability to handle multiple tasks at once It is useful to have a good understanding of the pre-admission requirements and pretesting requirements.
- Knowledge of insurance regulations and the ability to complete forms. Able to learn ICD9 and CPT coding. It is helpful to have knowledge of the billing system.
- CPR certification or willingness to obtain it is a must
- Excellent interpersonal and communication skills. Ability to work on your own and follow instructions.
- Communication skills and a good telephone manners are essential.
- Word processing skills are necessary.
- Preferable experience in Infectious Diseases.
